Booking wedding vendors on WhatsApp and bank transfer vs booking on Nodus
Plenty of families have booked a caterer on a voice note and paid the deposit by bank transfer. Here is what that way of booking does well, where it can go wrong, and how booking on Nodus is different.
Booking vendors over WhatsApp and paying by bank transfer is how a lot of South Asian weddings in the UK still come together, and plenty of those bookings go well. The weak spots are the paperwork and the payment trail.

Be fair
What informal booking does well
It is fast, it is personal, and it fits how families plan. Your khala can forward a number, your dad can ring the caterer, and you can agree the menu in one evening. Many vendors you will book are small family businesses who work this way every season and do it well. Nothing here says you shouldn't book them.
The gaps
Where it can go wrong
- The details drift. The menu, the number of guests, the arrival time and what the deposit covers can end up in five different chats. When there is a disagreement, nobody is quite sure what was agreed.
- Paying the wrong person. Account details sent over a message can be wrong, or not the vendor's at all. Banks now check the name on many UK accounts before you pay, which Pay.UK calls Confirmation of Payee2. Read that check carefully rather than clicking past it.
- Scam rules don't cover disputes. Since 7 October 2024, banks must reimburse most people tricked into sending money to a fraudster by bank transfer, up to £85,000 per claim1. But the Payment Systems Regulator says this is different from a civil dispute, where you "pay a legitimate supplier for goods or services that are not received or are defective"1. If a genuine vendor lets you down, the bank transfer scam rules won't help. Your written agreement is what you rely on.
A short checklist
If you do book informally
- Get the full agreement in one written message or document: date, times, ceremonies, what is included, price, deposit and when the balance is due.
- Ask for the vendor's cancellation terms in writing before you pay a deposit.
- Pay to an account in the business's name, and check the name your bank shows.
- Keep receipts and the agreement together in one place that the family can find.
- Never pay a deposit to a new account because of a message saying the details have changed. Ring the vendor on a number you already have.

Nodus does not change your legal rights. The contract for the service is between you and your vendor, and Nodus acts as booking agent for vendors on this platform. What changes is that the agreement, the conversation and the payments sit together in one place.
If plans change, the vendor's own terms decide what happens. You can download them from their storefront, and they are shown alongside every quote. If a vendor cancels, Nodus steps in to help you find a replacement.

Questions
It can be, if you know exactly who you are paying and have the booking in writing. Check the account name when your bank shows it, pay a business you have checked, and keep the written agreement and receipt together. The risk is paying the wrong person or having nothing clear to point to if something goes wrong.
